How to Automatically Number Headings in Word

To number Word headings as 1, 1.1, and 1.1.1, use a multilevel list linked to heading styles. Apply Heading 1, Heading 2, and Heading 3 to the body headings before assigning the numbering scheme.

This guide covers the desktop version of Word for Windows. Menu names and positions can differ between versions.

Apply heading styles

  1. Apply Heading 1 to a top-level heading, Heading 2 to its subheading, and Heading 3 to the next level.
  2. Keep automatically generated numbers separate from numbers you type manually.
  3. Check the heading hierarchy in the Navigation Pane if needed.

Heading styles support both navigation and an automatic table of contents. It is normal for a styled heading to have no number before you link it to a numbering scheme.

Choose a built-in heading numbering scheme

  1. Place the cursor in a Heading 1 paragraph.
  2. Open Home → Paragraph → Multilevel List.
  3. Choose a scheme whose preview shows links to Heading 1, Heading 2, and Heading 3. Distinguish it from an ordinary nested number list.
  4. Inspect the headings to confirm that the main and subheading numbers have the intended structure.

If a built-in scheme meets your needs, you do not have to define one from scratch. Microsoft's heading numbering guide describes using built-in heading styles with multilevel lists.

Define a custom numbering scheme

  1. Choose Home → Multilevel List → Define New Multilevel List.
  2. Select More if the additional options are hidden.
  3. Select level 1 and set Link level to style → Heading 1.
  4. Link level 2 to Heading 2 and level 3 to Heading 3, continuing only as far as needed.
  5. For numbering such as 1.1, include the higher-level number in the lower level’s format. Inspect Restart list after if the lower number should restart under a new higher heading. Confirm the settings.

Decide the desired pattern first—for example, 1 → 1.1 → 1.1.1—so you can choose the format consistently. Including a higher-level number in the format is different from typing a fixed digit into the numbering field.

Check numbering and appearance

Add a heading paragraph and apply its heading style to check that numbers continue correctly. Add a new top-level heading to confirm that the lower numbers restart where intended.

If numbering unexpectedly restarts or changes schemes, check that the headings are linked to the same list definition. Keep a separate ordinary numbered list from accidentally becoming part of the heading list. Use Ctrl+Z for an unwanted change, or compare against a document copy saved before the numbering edits.

Manage heading fonts and paragraph spacing through the heading style. For the space between the number and text, inspect the multilevel list’s alignment, indentation, and follow-number setting.
