How to Insert a YouTube Video in Word

To insert a YouTube video in Word, copy the video’s URL and paste it into Insert → Online Video. The video appears as a player in the document, but inserting and playing an online video requires an internet connection.

This guide focuses on the URL method in current Microsoft 365 Word for Windows. Older Word versions may show a YouTube search interface or a separate embed-code field instead.

Insert a video by URL

  1. Open the YouTube video in a browser and copy its address-bar URL. Check that the page opens and the video plays.
  2. In Word, place the cursor where the video should appear and choose Insert → Online Video.
  3. Paste the URL in the address field and choose Insert. If an older version has a separate embed-code field, use the input format appropriate to that version.
  4. Adjust the video’s size and layout, then choose its play button to check that it opens the intended video.

The current and older-version workflows are distinguished in Microsoft's online video instructions. Do not combine a current URL dialog with steps intended for the older YouTube search window.

If insertion or playback fails

  • Internet connection: The video plays from its original website. Inserting it does not turn it into an offline video file.
  • Embedding permission: A provider can prevent a video from being embedded outside its website. Check the video’s permissions.
  • URL and access: An incorrect link, deleted video, or private video can prevent playback. The recipient must also have access.
  • Compatibility Mode: An older document format can make Online Video unavailable. Preserve the original and check whether a copy in a current format supports the command.

Share the document with other people

Playback can depend on the recipient’s Word version and connection. Include the video title and original link in the document so the recipient can open it in a browser if the embedded player does not work. Do not assume a PDF or printed copy can play the video in the same way; include a useful link and inspect the result in the format you will distribute.
